Systems Automation

I built an automated onboarding custom file generation and sharing system for Level Up Physiques. The main objective of this project was to create and share assets between the team and their clients.

Starting with the trigger point of a form filled out, a Google Drive folder is generated and shared to the client. Once the unique folder is generated it is populated with subfolders containing onboarding videos, resources, spreadsheets, and more.

To complete this, I used: Zoho Flow, Zoho Forms, Zoho CRM, Google Drive, DocuSign, and Zapier.

Step 1: The automation is triggered by an onboarding form being filled out using Zoho Forms.

Step 2: After this, a custom Google Drive folder is generated with the folder title mapped to the first and last name of the form entry.

Step 3: From here, three subfolders are generated inside the of the previously generated custom folder; “Bloodwork”, “Check-In Photos”, and “Resources”.

Step 4: Now, it copies 8 individual files inside of the Resource folder. Mobility drills, macro counters, etc.

Step 5: It then wraps the overarching custom folder, it’s three subfolders, and 8 resource files into a nice bow and links it to the new client via an automated email.

Step 6: Lastly, Zapier reads that an entry into the onboarding form has been generated, and automates emailing a contract to seal the deal.
